You need to track fuel movement from the moment you receive it. This means tracking fuel movement, no matter if it is going in the storage tank or being consumed by a fleet vehicle. All fuel operations need to track the following:
- How much fuel is in your storage tank at a given time (beginning of business day, end of day, before delivery, after delivery)?
- How much fuel did a specific truck deliver? At what time?
- How much fuel went into a specific vehicle?
- Who extracted the fuel to put into each vehicle?
How Do You Manage And Control Fuel?
Control access to the pumps. This can be accomplished with keys or cards,and RFID tags, or user terminals. With fleet operations, it can also mean fencing around the fueling terminal. With retail fueling, it means not turning on the pumps to anyone without pre-pay or use of a credit/debit card.
Track who’s accessing the pumps. With fleet operations, each user should have a unique source of identification like a keycard or user ID/pin. With retail fueling, the pump should turn off when the transaction ends. This prevents the next user from accessing fuel without pre-pay or a debit/credit card.
Track fueling to each driver and each vehicle. For fleet operations, it is important to know how much fuel is going into which vehicle, under the control of a specific driver.
Track vehicle fuel consumption. Understanding how much fuel a specific vehicle used when driving a given distance makes it easy to determine fuel efficiency.
Get reports that show usage and being able to note any exceptions. Management reports offer the details that show how much fuel your business is using, how efficient specific vehicles are, and how well controls are working. Exception reports pinpoint specific anomalies that need further investigation.
